This policy explains what information Battleline Command handles, why it handles it, and who can see it.

This document is a working draft prepared from how the application actually operates. It has not been reviewed by an attorney, and it makes no certification or regulatory-compliance claim. It must be reviewed before any paid public launch.

Overview

Battleline Command is a closed, invitation-only application used by insurance sales organizations to review recorded sales calls and deliver coaching. There is no public self-registration: accounts are provisioned by an administrator.

This policy describes the categories of information the application handles, why it handles them, and the choices available to the people who use it.

Information We Collect

The application handles the following categories of information.

  • Account and profile information — name, work email, profile photo if you upload one, assigned role, account type and account status.
  • Organization and team information — the organization an account belongs to, team membership, invitations and access requests, and coach-to-agent assignments.
  • Uploaded call recordings — audio files a user chooses to upload, together with the details entered alongside them such as prospect name, call date, outcome, carrier, product and lead type.
  • Call transcripts — text produced from uploaded recordings, including speaker attribution and timing information.
  • AI-generated analysis and coaching — scores, findings, evidence references, coaching guidance and progress measurements derived from a call.
  • Production information you volunteer — figures a user chooses to enter, such as weekly production check-ins.
  • Coaching notes — notes a coach or manager writes and sends to an agent inside the application.
  • Coaching-session records — records that a coaching conversation took place and was marked complete.
  • Notifications — in-application messages generated by activity such as a new note or a completed analysis.
  • Feedback submissions — the content of any feedback or bug report a user chooses to send, and the context needed to act on it.
  • Subscription and pricing configuration — administrative settings describing what an account is configured to pay, including complimentary or discounted access. No payment provider is connected and no payment card data is handled.
  • Technical and security information — records needed to operate and secure the service, such as authentication events, processing job status and administrative access audit records.

How Information Is Used

  • To authenticate users and enforce what each role is permitted to see.
  • To transcribe and analyse uploaded call recordings and produce coaching output.
  • To present dashboards, reports, progress and team views to the people authorised to see them.
  • To deliver notes, notifications and coaching between authorised users in the same organization.
  • To operate, monitor, troubleshoot and secure the service.
  • To administer account access, subscription configuration and support requests.
  • To review feedback and bug reports.

AI Processing

Uploaded recordings and the transcripts produced from them are processed by automated systems, including third-party artificial-intelligence services, in order to produce transcripts, scores and coaching output.

AI output is generated automatically. It is a coaching aid, not a factual determination about a person, and it can be incomplete or wrong. It should not be used on its own to make employment, compensation or disciplinary decisions.

The application does not use AI to make automated decisions with legal effects, and it does not sell any information.

Call Recordings and Transcripts

Recordings are uploaded deliberately by a user. Recording files are stored privately and are never publicly accessible; playback is only possible through short-lived, individually authorised links issued to a user who is already permitted to view that call.

A recording of a sales call generally contains another person's voice and personal details. The user uploading a recording is responsible for having the legal authority and any consent required to record that conversation and to upload it here.

Transcripts and analysis derived from a recording are subject to the same access rules as the recording itself.

Organizations and Coaching

This is a workplace coaching application. Where an account belongs to an organization, people in that organization who hold a supervisory or coaching role may be able to see that account's calls, scores, coaching output and progress, according to their role.

Access is scoped by role: an agent sees their own material; a coach sees the agents assigned to them; a manager sees and coaches their own team; an agency admin sees their agency; a platform administrator can administer the platform. Access is enforced by the server and the database on every request, not by hiding links.

A platform administrator may use a read-only support view to see an account's own view of the application in order to resolve a support issue. That view cannot change anything, and its use is recorded.

Data Sharing and Service Providers

Information is not sold, rented, or shared for advertising.

Information is shared with other users of the same organization only as described above, and with service providers strictly as needed to operate the application. Those providers include infrastructure and database hosting, file storage, authentication, email delivery, and the artificial-intelligence services used to transcribe and analyse calls. Providers act on instructions for the purpose of delivering the service.

Information may also be disclosed where required by law, or to protect the rights and safety of users and the service.

Data Security

Access is authenticated, and authorisation is enforced at the database level so that a user cannot read another user's or another organization's material, regardless of how a request is made. Recording files are held in private storage and are only reachable through short-lived authorised links. Administrative and support actions are recorded.

No system can be guaranteed to be secure. This policy makes no security certification claim.

Data Retention

Information is retained for as long as the account exists and as needed to operate the service. Recordings, transcripts and coaching history persist so that longitudinal coaching and progress remain accurate.

OWNER REVIEW REQUIRED: Specific retention periods and a deletion-request procedure have not been established. No retention period is stated here rather than inventing one.

User Choices

  • You may review and update your profile information in Settings.
  • You may change your password, and reset it by email if you cannot sign in.
  • You choose whether to upload a recording, whether to enter production figures, and whether to send feedback.
  • Requests to access, correct or delete information are handled by your organization's administrator together with the operator of the service.
OWNER REVIEW REQUIRED: The formal channel and response commitment for access, correction and deletion requests still needs to be established.

Children

This is a workplace application intended for adult professional use. It is not directed to children, and accounts are not knowingly provisioned to anyone under 18.

Changes to This Policy

This policy may be updated as the application changes. The date shown at the top of this page indicates when it was last revised. Material changes will be communicated through the application.
